A K Street machine can be empty of milk while our technician is downstairs arguing with the desk. The building wanted a cleared vendor. The office sent a calendar invite. Those are not the same thing. Washington, Arlington, and Bethesda sites with federal tenants often need a badge cohort, escort rules, and a 24-hour lead. A trial week that skips that paperwork is a trial of the lobby.

Send the list before the truck leaves
Name, company, photo ID type, vehicle if they use the garage, and the floor contact who answers the desk phone. If the suite is a subtenant, the master tenant’s security team may own the list. Find that out before 8 a.m. on service day.
Overnight classified floors that cannot have vendors after hours are a different constraint. Here the issue is daytime access that looks open and is not.
Do not promise a 9 a.m. restock on a 48-hour badge rule
If the building needs two days to add a name, our weekly visit has to land inside that rule. Cup billing does not care. The hopper does. The coffee owner should keep a backup person on the list for PTO weeks. One name in an out-of-office is how Arlington floors miss a visit.

Escorts eat the service window
If every visit needs an escort, the escort has to be on the floor, not in a hearing. Hill-adjacent offices feel this on markup weeks. Downtown law offices feel it on filing days. Schedule the visit when the escort is actually in the building.
What we need on the call
Badge lead time, whether an escort is required, garage versus street loading, and the desk phone that actually gets answered. Mention DC proper versus Northern Virginia if the account spans both.
