An empty hopper in Sandy Springs is often not a missed truck. It is a closet. Facilities thinks the office manager pulls backup beans. The office manager thinks our visit includes a hidden case in a locked room they cannot open. The station looks stocked on Monday. It is dry by Wednesday lunch.

We stock the pantry we can reach. We cannot restock a closet we cannot enter. Atlanta accounts fail this way in Midtown towers and Perimeter campuses alike. The key, the count, and the owner have to live on one page.

Put the backup SKUs on a shelf we can see

Name what lives in the closet: beans, cups, lids, backup milk, cleaner, and spare drip-tray liners. If those items sit behind a facilities lock, put our technician on the badge list or move a two-day buffer into the pantry. A buffer that nobody can reach is not a buffer.

Count before the visit, not after the empty hopper

The coffee owner should walk the closet the afternoon before service. Photograph remaining cases. If the count is one bag and an anchor day is tomorrow, say so before we roll. Cup billing tracks drinks. It does not invent beans that were used from a closet we never saw.

Assign one person who can open the door. A backup person for PTO weeks. Post that list next to the station, not in a lease abstract.

Stop treating the closet as overflow junk

Holiday decorations, plotter paper, and leftover catering platters steal the same shelf as coffee. We have opened “supply closets” in Marietta offices that held everything except beans. If the room is mixed-use, tape a labeled coffee zone and keep it clear. Our sanitation visit is for the station. It is not a warehouse sort.

What to send us

Who holds the key, a photo of the coffee shelf, and whether backup milk is even allowed in that room. If the closet is on a different floor from the machine, say so. Vertical trips eat the service window.
